Donor Database Administrator

This position is responsible for maintaining and completing administrative duties with the donor tracking software, effectively and accurately managing the gift donation process.  Working in partnership with the finance department is also a responsibility, as is education and training for users. 



Job Duties

  • Accurately and timely perform gift processing tasks- entry, data updates, acknowledgement, receipts, signatures, reporting
  • Act as primary development software “subject matter expert” and ensures all users are properly trained
  • Create required and requested data imports, exports, reports, mail merges and lists
  • In partnership with the finance department, develop and maintain essential financial information to aid in preparation of company-wide financial statements and reconciliations
  • Develop and implement ongoing plans to improve the integrity of the database and to maximize functionality
  • Perform prospect research as directed, generating data to provide as much relevant information as is available to support donor relation activities
  • Complete necessary donor database maintenance to assure accuracy
  • Prepare bank deposits
  • Process donations/receipts from charge cards
  • Provide direction and guidance to volunteers assisting with processing gifts
  • Responds to donor requests for donation records or other year-end tax reports

Skills/Qualifications

  • Minimum two (2) years’ database management experience
  • Proficient with Microsoft Office Suite and fundraising software
  • Minimum three (3) years’ experience in development or a related field






Working Conditions

  • Regular standing, walking, climbing, crouching, bending, pushing, or pulling
  • Understand, speak, read, and write fluent English
  • Required to talk and  hear
  • Able to lift up to 50 lbs.
  • Able to use fine motor hand functions
  • Frequently exposed to varying temperatures from below 32 degrees to above 80 degrees
